# AI Content Organization
Source: https://userguide.ticnote.com/app/ai-organization
How TicNote's AI turns raw recordings into structured, actionable knowledge.
## From Recordings to Intelligence
After you record, TicNote's AI layer extracts meaning from your audio — automatically, without any manual effort.
***
## One-Click Auto Summary
AI generates a structured summary with key points, decisions, and action items. No formatting required.
Automatically extracts core concepts and organizes them chronologically or by topic.
**Summary styles available:**
* **Concise** — bullet points, fast to scan
* **Detailed** — full paragraphs, preserves nuance
* **Bullet points** — conclusions-first for quick executive review
***
## Mind Map Generation
TicNote automatically generates a structured mind map from your recording summary:
1. AI identifies the central theme and sub-topics
2. Logical relationships are visualized as a branching diagram
3. Export as **PNG** (Xmind export coming soon)
Mind maps update when you edit the summary — re-generate with one tap.
***
## Aha Moment — Insight Discovery
"Aha" is TicNote's unique insight engine. It proactively surfaces ideas that were mentioned but not emphasized during a conversation.
While you focus on the meeting, Aha scans the full transcript for:
* **Implicit insights** — ideas that were hinted at but not fully discussed
* **Action opportunities** — next steps that nobody formally assigned
* **Creative sparks** — novel framings or analogies that deserve follow-up
Every Aha insight is timestamped and linked back to the original recording segment.
***
## Deep Research Assistant
TicNote can synthesize content across multiple recordings into a structured research report:
Choose multiple recordings, notes, or imported documents to include.
Type a question or topic — e.g., "What are the main concerns customers raised about onboarding?"
TicNote generates a report with:
* Executive summary
* Organized viewpoints grouped by theme
* Citation sources linking back to exact recording timestamps
**Use cases**: Academic writing, industry analysis, competitive research, client synthesis.
***
## One-Click Podcast Generation
Turn any recording into a publishable audio piece:
* AI synthesizes the transcript into a coherent podcast script
* Generate professional-quality audio from the script
* Manage multiple episodes in playlists
* Share directly or export the audio file
Podcast generation is currently **free for a limited time** on all plan tiers.
# Professional Recording
Source: https://userguide.ticnote.com/app/professional-recording
TicNote's stable, efficient recording engine — extended duration, real-time transcription, and multimedia notes.
## Recording Engine Overview
TicNote is built for long-form, high-stakes recordings. Every recording session is designed to be stable, uninterrupted, and immediately useful.
***
## Extended Recording Duration
A single recording session can run the entire workday without stopping. TicNote hardware keeps recording even when the phone is locked or out of Bluetooth range.
**Online**: Real-time transcription as you speak. Syncs to cloud instantly.
**Offline**: Device records independently. Files auto-sync when reconnected. Ideal for field work, flights, or areas with no signal.
***
## Real-Time Transcription & Translation
| Feature | Details |
| ------------------------------ | --------------------------------------- |
| **Transcription speed** | Text appears as you speak — no waiting |
| **Languages (real-time)** | 17 languages |
| **Chinese dialects** | 27 dialects supported |
| **Accuracy** | 98% (English / Mandarin) |
| **Speaker identification** | Up to 50 speakers automatically labeled |
| **Real-time translation** | 120+ languages during recording |
| **Post-recording translation** | 120+ languages |
***
## Multimedia Recording
Enrich your recordings with additional context without stopping or switching apps:
Add typed notes during a recording — timestamps are linked automatically.
Snap a photo of a whiteboard, slide, or document — it embeds into the recording timeline.
Press the mark button to flag key moments. Jump directly to them during review.
***
## Professional Vocabulary
TicNote includes specialized vocabulary databases for professional fields:
* **Medical** terminology
* **Legal** terminology
* **Finance** terminology
* **Product / technology** terms
These vocabulary packs improve transcription accuracy in domain-specific settings by 30%+.
***
## Multi-Model Transcription
Choose the transcription engine that fits your needs:
| Mode | Best For |
| ------------ | --------------------------------------------------------------- |
| **Standard** | Everyday use, balanced speed + accuracy |
| **Fast** | Quick notes, informal meetings |
| **Precise** | Medical, legal, or technical content where accuracy is critical |
# Projects & Shadow AI
Source: https://userguide.ticnote.com/app/projects-shadow
Build your second brain with Projects and Shadow — TicNote's knowledge management and AI agent system.
## Your Second Brain
Projects and Shadow AI turn TicNote from a recording tool into a **living knowledge base** — one that grows smarter the more you use it.
***
## Projects — Automatic Knowledge Building
AI analyzes your recordings and automatically groups related content into themed projects. No manual tagging required.
Build hierarchical knowledge structures. e.g., "Client Work" → "Acme Corp" → "Q2 Review Meetings".
### What goes into a project:
* Recording files and their transcripts
* AI summaries and mind maps
* Imported documents (PDFs, Word files, spreadsheets, etc.)
* Notes and Aha Moment insights
### Sharing (TicNote Pods users):
* Any project can be converted to a shared knowledge base with one tap
* Invite collaborators via email or link with three permission levels: **Owner**, **Editor**, **Viewer**
* Shadow Agent in shared projects provides consistent AI context across all team members
***
## Shadow AI — Your Thinking Partner
Shadow is TicNote's AI agent that operates across your entire knowledge base.
Ask any question in natural language and Shadow searches your entire knowledge base — across all projects and recordings — to answer it accurately. Every answer includes citation links back to the original source.
*Example: "What did the client say about pricing in Q1?"*
Compare content across multiple recordings. Shadow identifies trends, recurring themes, and evolving viewpoints across sessions.
*Example: "How has customer feedback about the onboarding flow changed over the past 3 months?"*
Shadow can create new files based on your recordings:
* Markdown notes
* HTML landing pages
* Word documents / Excel spreadsheets
* Presentation slides (from meeting content)
* Multi-audience versions (executive brief / project backlog / sales follow-up — all from the same meeting)
Long press to summon Shadow on TicNote Pods (4G). Capture fleeting thoughts with your voice — they're automatically tagged, stored in your Ideas pool, and can be converted into tasks, projects, or research threads.
Currently supports **English and Chinese** voice input.
***
## Flash Chat, Deep Think, and Random Ideas
| Mode | Description | Cost |
| ---------------- | ----------------------------------------------------------- | ------------------- |
| **Flash Chat** | Quick back-and-forth with Shadow | Free (limited time) |
| **Deep Think** | Shadow takes extra time to reason through complex questions | Free (limited time) |
| **Random Ideas** | Voice-captured sparks organized into your idea pool | Free (limited time) |
Deep Think is not selected by default to keep responses fast. Enable it in the Shadow interface when you need deeper analysis.
***
## Agent Requests by Plan
| Plan | Agent Requests/month |
| ------------------------ | -------------------- |
| Free | 30 |
| Standard (hardware gift) | 30 |
| Pro | 300 |
| Business | 1,000 |
Each Shadow conversation turn counts as one Agent Request.
***
## Web Access
Access TicNote from any browser — no app install required:
* Visit [ticnote.com](https://ticnote.com) and sign in
* Full access to recordings, transcripts, summaries, and Shadow AI
* Share a web link directly from the app to open on any device

# TicNote Cloud
Source: https://userguide.ticnote.com/app/ticnote-cloud
The web workspace that transforms your recordings into professional deliverables using Shadow AI.
## What is TicNote Cloud?
TicNote Cloud is the browser-based workspace at **[ticnote.com](https://ticnote.com)**. While the mobile app is built for capturing recordings on the go, TicNote Cloud is where you do the deep work — organizing, analyzing, and generating polished deliverables from everything you've recorded.
**Core idea:** Every conversation you capture becomes a workable asset, not just a file.
***
## The Project Workspace
### What is a Project?
A Project is a thematic workspace — not just a folder. Think of it as a dedicated AI analyst that knows everything about one specific topic.
Aggregate dozens of meetings, interviews, or lectures into one project
Upload PDFs, Word docs, and research materials alongside your recordings
Shadow AI understands everything across all files — not just the last conversation
### Creating a Project
Sign in with the same account as your mobile app.
Give it a descriptive name — e.g., "Q1 Customer Discovery" or "Series A Fundraising".
* Import recordings synced from your TicNote device
* Upload audio/video files (MP3, MP4, MOV)
* Add documents (PDF, Word, Markdown)
* Paste a YouTube link for direct transcription
Once files are transcribed, Shadow AI is ready to answer questions and generate deliverables.
***
## Shadow AI — Your Executive Assistant
Shadow AI is embedded inside each Project. It's not a generic chatbot — it only works within your Project's content and can actually execute tasks, not just answer questions.
### What Shadow Can Do
Ask anything about your project content:
* *"What pricing concerns came up across all customer interviews?"*
* *"Why did we decide against option B in the March meeting?"*
* *"Summarize what the engineering team said about the API timeline"*
Shadow finds the exact moment in the transcript and quotes it with a timestamp link.
Ask Shadow to transform content:
* *"Turn these meeting notes into a formal email to the client"*
* *"Rewrite the executive summary to be 3 sentences"*
* *"Organize all action items from the last 5 meetings into a table"*
One-click generation of professional outputs:
| Output Format | Description |
| ------------------------- | ------------------------------------------------------------------- |
| **Research Report (PDF)** | Structured report with executive summary, findings, recommendations |
| **Web Presentation** | Interactive HTML slides, editable via Shadow Agent |
| **Podcast** | AI-narrated audio with auto-generated show notes |
| **Mind Map** | Visual logic diagram of key topics |
| **Web Page** | Interactive HTML page with embedded elements |
Shadow reads across all files simultaneously:
* Compare themes across 10 customer interviews
* Identify contradictions between documents
* Track how decisions evolved across multiple meetings
* Build a comprehensive knowledge synthesis
***
## Generating a Report — Example Workflow
Here's how a consultant might use TicNote Cloud to produce a client deliverable:
Create a project "Acme Corp Consulting" and add 10 client interview recordings + 3 background PDFs.
Type: *"Generate a strategic analysis report based on all interviews and documents"*
Shadow confirms scope, structure, and asks if you want to add a Risk section.
Shadow analyzes all content, extracts insights, identifies risk points, and writes the report paragraph by paragraph — with every claim linked back to a source timestamp.
Click any paragraph to see the original source. Edit conclusions directly, and Shadow adjusts related sections in real time.
Download as PDF, share as a web link, or continue editing collaboratively with teammates.
***
## Multi-source Input
TicNote Cloud accepts more than just recordings:
| Input Type | Formats | Best For |
| ----------------- | ---------------------------------- | ----------------------------------- |
| **Meeting Audio** | Real-time recording, MP3, M4A, WAV | Client meetings, team standups |
| **Video** | MP4, MOV, YouTube URL | Online lectures, product demos |
| **Documents** | PDF, Word, Markdown, TXT | Research reports, contracts |
| **AI Research** | Shadow proactively searches | Competitive analysis, industry data |
***
## Team Collaboration
TicNote Cloud supports real-time collaboration inside Projects:
* **Comment anywhere** — leave inline comments on transcripts or documents
* **Three permission levels**: Owner / Editor / Viewer
* **Live sync** — changes appear instantly for all collaborators
* **Conflict resolution** — automatic, like Google Docs
***
## Knowledge Management
Every project builds a persistent knowledge base:
* **Cross-file search** — semantic search across all content in a project
* **Auto tagging** — Shadow tags files by topic, people, and decisions
* **Version history** — all edits are tracked
* **Project memory** — Shadow gets smarter as you add more content
Unlike ChatGPT, Shadow doesn't forget between sessions. Everything you add to a Project stays in context permanently.
***

## Audio Quality
* Keep the device within 1–5 m of the speakers
* Make sure nothing is blocking the microphone openings
* Check that the case isn't covering the mics
* Charge to full before long sessions
* Check battery level in the app before recording
* Wi-Fi quick-transfer draws power — disable it when not actively transferring
TicNote Lite's AI noise reduction is automatic. Tips:
* Place the device closer to the speaking source
* Avoid positioning near fans, AC vents, or keyboards
Microphone gain is automatically managed by the AI noise reduction algorithm. There is no manual gain control on TicNote Lite.
***
## Hardware
Push the device out gently from the bottom edge. The sleeve loosens slightly with regular use.

How to use TicNote Lite — one-button recording, offline mode, and key tips.
## Core Operations
TicNote Lite is built around a simple one-button experience.
Hold the power button for **2 seconds**
Hold the power button for **2 seconds** again
Files upload automatically when your phone is in Bluetooth range
Open the TicNote app to see live or stored transcriptions
***
## Key Highlights
TicNote Lite records even without your phone nearby. Up to 8 GB of recordings can be cached on-device, enough for approximately 100+ hours of audio. Once you're back in Bluetooth range, everything syncs automatically.
OLED status feedback at every step — pairing, recording, charging, transfer. Easy enough for kids and seniors, yet powerful enough for professionals.
Despite the lower price, TicNote Lite runs the same AI transcription engine: 120+ language support, 98% accuracy, multi-speaker ID, real-time translation, auto-summary, and Shadow AI.
***
## Usage Tips
**Check battery in the app** — unlike TicNote Standard's OLED, TicNote Lite doesn't display a battery percentage on the device. Open the app to see the current charge level.
**Offline mode**: recordings are cached locally and upload once you're back in Bluetooth range. No data is lost if you record without your phone.
**Reset**: Hold the power button for 15 seconds to reboot. This does not delete any recordings.

How to pair TicNote Pods with the TicNote app.
## Pair TicNote Pods
Search **TicNote** in the App Store (iOS) or Google Play (Android), then install.
* Requires iOS 13+ or Android 8+
* Grant **microphone**, **Bluetooth**, and **notification** permissions when prompted
Open the charging case lid. The earbuds automatically enter Bluetooth pairing mode when taken out of the case for the first time (or after a reset). The case LED will flash white.
Open the TicNote app and tap **"+ Add Device"** on the homepage. Follow the in-app guide to pair the **charging case** — the app will walk you through each step. Once the case is successfully connected, the app will show the device as linked to your account.
After the charging case is paired in the app, go to your phone's **Settings → Bluetooth** and make sure Bluetooth is turned on. Look for **"TicNote Pods"** in the device list and tap it to connect the earbuds.
If TicNote Pods doesn't appear in the Bluetooth list, place the earbuds back in the case, close the lid for 5 seconds, then open it again to re-enter pairing mode.
The TicNote app connection (Step 3) links the charging case for recording and AI features. The Bluetooth pairing (Step 4) connects the earbuds for audio — music, calls, and playback. Both steps are needed for the full experience.
The app shows **"Device Connected"**. Battery status for both the earbuds and charging case is now visible in the app.
You're ready to record and listen!

## Wearing Guide
TicNote Pods use an open-ear hook design:
1. Hold the earbud with the speaker facing your ear canal
2. Hook the ear loop gently over the top of your ear
3. Adjust until comfortable — the bud should rest against (not inside) the ear canal
Open-ear design means ambient sound remains audible. This is intentional — great for situational awareness during calls and meetings.
***
## Two Recording Modes
TicNote Pods automatically detects which mode to use based on whether the earbuds are in your ears or in the case.
Earbuds in ears. Dual directional mics capture calls, interviews, and personal conversations clearly. Best for: phone calls, 1-on-1 meetings, on-the-go recording.
Earbuds stored in the closed case. Place the case on the table. The case's 2 digital microphones pick up 5–10 m radius. Best for: boardroom meetings, lectures, group discussions.
***
## Touch Controls
| Gesture | Action |
| -------------------------- | ----------------------- |
| Double-tap (incoming call) | Answer call |
| Double-tap (during call) | Hang up |
| Double-tap (music) | Skip to next track |
| Long press | Launch podcast playback |

**Buds mode** (calls/interviews): Put on the earbuds. Tap the recording button in the app, or recording starts automatically when you answer a call.
* In case mode: position the case in the center of the table, lid up, no obstructions
* In buds mode: make sure earbuds are properly seated on your ears
* Avoid placing the case near fans, AC vents, or projectors
* Check battery in the app before long sessions
* 4G significantly reduces battery life (12 h with 4G vs 22 h without) — disable 4G if not needed for Live Summary
* Store in the case when not actively recording to maintain charge
ENC and AEC run automatically. For best results:
* In case mode: place case in center of room, away from noise sources
* In buds mode: ENC focuses on your voice; move away from loud environments if needed

## Network Connectivity (Pods 4G)
This section applies to **TicNote Pods 4G** only. TicNote Pods (Wi-Fi version) relies on your phone's network connection.
### How Pods 4G Selects a Network
TicNote Pods 4G automatically prioritizes the best available connection in this order:
1. **4G (eSIM)** — highest priority when 4G signal is available. Enables real-time cloud upload and Live Summary.
2. **Wi-Fi** — used when 4G is unavailable or manually disabled. Files upload after recording completes.
3. **Bluetooth (via phone)** — fallback when neither 4G nor Wi-Fi is reachable. Files sync when your phone reconnects.
4. **Offline cache** — if all connections fail, recordings are stored locally in the 32 GB case storage and sync automatically later.
### Switching Between 4G and Wi-Fi
You can manually turn 4G on or off from the TicNote app:
Make sure your Pods 4G is connected and powered on.
Tap the **device icon** for your Pods 4G on the app home screen, then tap **Device Settings** (gear icon).
Find the **4G Network** toggle. Turn it **on** to enable 4G cellular; turn it **off** to use Wi-Fi or Bluetooth only.
The status indicator on the case LED will reflect the active connection. When 4G is off, the device automatically falls back to Wi-Fi (if available) or Bluetooth.
### 4G vs Wi-Fi: What Changes
| Feature | 4G Active | Wi-Fi Only |
| ------------------ | ----------------------------------- | --------------------------------- |
| **Live Summary** | ✅ Real-time during recording | ❌ Not available |
| **Quick Summary** | ✅ Ready within 30 s after recording | ✅ Ready after upload completes |
| **Upload speed** | Up to 50% faster than Wi-Fi | Standard upload after recording |
| **Phone required** | ❌ No — fully independent | ❌ No — if Wi-Fi available |
| **Battery (case)** | \~12 h 48 min recording | \~22 h 20 min recording |
| **When to use** | Meetings away from Wi-Fi | Daily office use, battery savings |
Turn off 4G when you are in a Wi-Fi environment to nearly **double your battery life** — from \~12 h to \~22 h recording time.

## Tips for Best Results
Place the case in the center of the table with the button/mic side facing upward. Avoid covering the case or placing it near loud objects (fans, projectors).
In noisy environments, TicNote Pods automatically applies dual-mic ENC (Environmental Noise Cancellation) and AEC (Acoustic Echo Cancellation). If the other party reports poor audio, move away from the noise source.
When 4G is active, audio streams directly to the cloud during recording — enabling Live Summary. When on Wi-Fi only, audio uploads after recording completes (no Live Summary, but Quick Summary still runs post-meeting). If both fail, recordings cache in the 32 GB case storage and sync later.
* Turn off 4G when you only need Wi-Fi to extend battery significantly (22 h vs 12 h recording)
* Store in the case when not in use — the case charges the buds automatically

## Hardware & Physical
Gently push the device out from the bottom edge using a fingernail. The leather case is snug by design to hold the device securely during magnetic attachment. It loosens slightly with regular use.
Contact support at [support@mobvoi.com](mailto:support@mobvoi.com) with your order number for a replacement case.
The MagSafe magnet can briefly trigger the proximity sensor on some phones. This is normal behavior and doesn't affect functionality. Try repositioning the card slightly lower on the phone back.
Long press the power button for **15 seconds**. The device reboots and returns to factory default state. **This does not delete your recording data** — all recordings remain in the cloud.
TicNote is designed to stay in low-power standby rather than fully power off. Long press the power button to toggle recording; the device manages sleep/wake automatically. This ensures you're always ready to record. Battery standby is 20+ days.
* Charge the device — the battery may be fully depleted
* Long press for exactly 2 seconds (not a quick tap)
* Long press for 15 seconds to force reset if unresponsive
***
## Charging & Battery
* Use the **included proprietary magnetic cable** — standard USB-C will not work
* Inspect the magnetic pins on both the cable and device for debris; clean gently
* Try a different USB power source (5V)
* If still unresponsive after 30 minutes of charging, contact support
* Open the app and force-sync by pulling down to refresh on the home screen
* Toggle Bluetooth off and back on
* If the mismatch persists, restart both the device (15-second reset) and the app
Long press the power button for **15 seconds** to force reboot. No data will be lost.
20+ days standby assumes Bluetooth is idle and no background sync is occurring. If your phone is consistently syncing files over Wi-Fi (quick-transfer mode), the device draws more power. Turn off Wi-Fi quick-transfer when not needed.

# Recording Modes
Source: https://userguide.ticnote.com/ticnote/recording-modes
TicNote Standard has two hardware recording modes — Speaker Mode and Earpiece Mode. Here's when to use each.
## Dual-Mode Recording System
TicNote Standard's physical **slide switch** on the side toggles between two optimized recording modes, each tuned for a different environment.
The slide switch is a hardware control — no app configuration needed. The OLED screen shows the active mode.
***
## Speaker Mode (Default)
**Switch position: Slide down** · OLED shows Speaker icon
Best for open environments where multiple people are speaking:
* Meeting minutes and boardroom discussions
* Classroom lectures
* Interview recordings
* Training sessions and seminars
* Conferences and group discussions
**How it works**: Two omnidirectional digital silicon microphones capture sound from all directions. AI noise reduction filters keyboard noise, wind, air conditioning, and other ambient sounds in real time at 16 kHz sampling rate.
For best results in meetings, place the TicNote card **in the center of the table** or clip it to a notebook facing the speakers.
***
## Earpiece Mode (Phone Recording)
**Switch position: Slide up** · OLED shows Earpiece icon
Best for phone and call recording scenarios:
* Phone interviews
* Customer service calls
* Remote meetings (phone-based)
* Business phone consultations
**How it works**: Uses 1 bone conduction microphone + 1 omnidirectional mic to automatically detect phone call status and record **both sides of the conversation** simultaneously, transcribing in real time.
**iOS**: Place TicNote close to the phone's earpiece position for optimal two-way recording.
**Android**: Supports global call recording with no specific position requirement.
***
## AI Enhancement (Both Modes)
AI filters keyboard sounds, wind, air conditioning, and background noise in real time.
Automatically identifies and labels different speakers in the transcript.
Simultaneous translation into 120+ languages while recording.

How to use TicNote Standard — magnetic attachment, recording, transcription, and tips.
## Quick Start Guide
Bring the TicNote card close to the MagSafe area on the back of your iPhone (above the camera). The magnetic system automatically aligns and snaps into place — a **"click" sound** confirms secure attachment.
For **non-MagSafe phones** (Android, older iPhones): attach the included magnetic ring to the back of your phone case first, then enjoy the same magnetic experience.
Long press the power button for **2 seconds**. The device vibrates, the OLED screen shows the recording status, and recording begins immediately.
TicNote supports two recording modes:
* **Online mode**: real-time transcription while you record
* **Offline mode**: device records independently; files auto-sync to the app when reconnected
A full charge provides **20+ hours** of continuous recording.
Open the TicNote app — your spoken words appear as text in real time, no need to wait until recording ends.
* Supports **120+ languages** (98% accuracy for Chinese/English)
* Identifies up to **50 speakers** automatically
* Real-time translation available during recording
Long press the power button for **2 seconds** again. The OLED screen shows the end status and the device vibrates twice.
Recordings are automatically saved to the cloud. Access, edit, and share them anytime in the app.
***
## Phone Compatibility
MagSafe built-in — no accessories needed. Attach directly to the back. Strong and stable magnetic force that won't detach during running or cycling.
Use the included **magnetic ring**. Attach it to the back of the phone case (above the camera is recommended) to enable MagSafe-equivalent magnetic attachment on any device.
***
## Tips for Best Results
A clear "click" means the magnet is fully seated and secure. If you don't hear the click, reposition the card slightly.
* **Online**: Real-time transcription and fast cloud sync. Best when phone is nearby.
* **Offline**: Device records independently without Bluetooth. Recordings sync automatically when you reconnect. Great for long recordings when you don't need live transcription.
The sweet spot is **3–5 meters**. The AI noise reduction automatically filters environmental sounds (keyboards, air conditioning, background chatter).
After recording, tap any file in the app to access export options:
* **Transcript**: TXT format
* **Summary**: Markdown (DOCX and PDF coming soon)
* **Mind map**: PNG (Xmind coming soon)
